RFQ Report - Your Vendor Quotation Command Center

Created by Emily A, Modified on Mon, 5 Oct at 10:16 AM by Emily A

Overview

Think of the RFQ Report as your procurement navigator - it keeps tabs on every quotation you've sent, who's replied and who's gone quiet, and how many of those requests actually turned into real Purchase Orders. Everything about your vendor conversations, in one dashboard instead of a dozen inboxes.

What You Can Do Here

  • Track sent RFQs - see exactly what's been shared with vendors
  • Monitor vendor responses - spot who's replied and who still needs a nudge
  • Analyze conversion rates - see how many RFQs actually become Purchase Orders

Getting There

  1. Go to Reports from the main menu.
  2. Select RFQ to open the dashboard.

Tip: Treat this report like your procurement pulse — a regular check-in keeps vendor interactions moving instead of stalling silently.

Dashboard at a Glance

Your procurement cockpit, right at the top of the page:

  • Total RFQs Sent - every RFQ issued to vendors
  • Total Converted to PO - how many of those became actual Purchase Orders

Tip: Watch these two numbers side by side — a big gap between RFQs sent and POs converted is usually a sign something's stuck in the vendor response stage.

Filtering RFQ Data

Use filters like a magnifying glass - skip the scrolling and go straight to what matters:

  • Project Name - RFQs for one specific project
  • Select Vendor -  RFQs tied to a specific vendor organization
  • Issued Between -  RFQs sent within a date range

Click Apply to update the dashboard, or Clear to reset.

Tip: Stack filters together - project plus date range, for example - to quickly isolate exactly the vendor follow-ups you're chasing that week.

The RFQ Report Table

Every RFQ entry is a snapshot of where that quotation stands:

ColumnWhat It Tells You
Project NameThe project linked to the RFQ
Vendor OrganizationWho the RFQ was sent to
Vendor AmountThe price the vendor quoted
Is Converted to PO?Whether it's become a Purchase Order
Organization StatusYour side's update - Sent, Price Updation Received, or Declined
Vendor StatusThe vendor's side - Received, Price Updated, or Declined
Sent OnThe date the RFQ was issued

Tip: This table is your control center - it's the fastest way to see exactly who to chase next and who's already come through.

Bulk Actions and Exporting

Select multiple RFQs to act on vendor responses all at once, instead of one by one. Click Export to download the data as an Excel file - great for audits, performance analysis, or sharing with the wider team.

Tip: Filter first, then select and export — narrowing down before you export keeps your spreadsheet focused instead of dumping everything at once.

Automating Your Reports

Why check manually when the report can land in the right inbox on its own?

  1. Click the Configure Report Automation icon to open the popup.
  2. Under Send To, pick who should receive it.
  3. Under Generate Report, choose the rhythm:
    • Daily (default) - generated within an hour of your chosen time (set 6:00 PM, and it lands between 6:00–6:59 PM)
    • Weekly - a week's summary, same day and time each week
    • Monthly - a monthly overview, same day and time each month
  4. Set the Start Date and Start Time, then click Save - or Cancel to back out without saving.

Note: Don't skip the Start Time - without it, the automation won't generate any reports.

Editing Vendor Details on the Fly

Need to fix a vendor's details while you're mid-RFQ? You don't have to leave the screen to do it - vendor details can be edited directly from the Add Vendor panel in RFQ, Purchase Order, and Work Order workflows alike, so a quick correction doesn't interrupt what you're working on.
