How to Create a Task – From Idea to Action
Creating a task is like planting a seed for project progress. With just a few clicks, you can transform ideas into actionable steps that appear right on your Kanban board.
Here’s how it works:
Opening the Task Form
- When you click Create Task, a sleek half-canvas panel opens on the side.


- This is your control center to define what the task is, who owns it, and when it should be completed.
- Once saved, the task automatically appears in the To Do column (or whichever column you’ve set as your default).
Fields You’ll Find in the Task Form
Task Name
The title of your task — short, clear, and instantly recognizable.
Think of it as the “headline” your team will spot on the board.
(Example: “Finalize Structural Drawings” or “Upload Material Submittals”)
Status
Defines where the task currently lives in your workflow:
To Do – Planned but not started.
In Progress – Actively being worked on.
Completed – Finished and signed off.
Set Priority
Priorities help the team focus on what matters most:
High – Urgent, needs immediate attention.
Medium – Important, but not as time-sensitive.
Low – Nice to have, can wait until others are done.
Description (Optional)
Add more context so no one has to guess.
Here you can include task details, requirements, or references.
Start & End Date
Start Date – When work is scheduled to begin.
End Date – The deadline or target completion date.
Deadlines keep your project timeline crystal clear.
Assignee
Assign responsibility to the right teammate.
Every task should have an owner ?? so accountability is never lost.
Add Reminder
Never miss a deadline again! ⏰
Set up automatic notifications to remind you ahead of the due date.
Checklist
Break big goals into smaller wins. ✅
The checklist helps split the task into bite-sized subtasks for easier tracking.
(Example for AEC: “Review drawings → Submit for approval → Incorporate feedback → Finalize”)
Add Attachments
Attach drawings, contracts, images, or reference docs directly to the task.
Everything stays in one place — no digging through emails.
Creating the Task
Once all the fields are filled, click the Create button.
The new task instantly appears on your Task Board, ready to be tracked.
Managing Tasks After Creation
Once a task is created, you’re not locked in. You can:
View – Open the task to see full details.
Delete – Remove tasks that are no longer relevant.
Duplicate – Clone a task (perfect for recurring activities like weekly site inspections).

This keeps your task list flexible and saves time for repetitive workflows.
Task Progress Tracking
Every task card comes alive with progress indicators so you know exactly how things are moving:
On the Task Card: A circular progress bar shows how many checklist items are done.

On the Task View Page: A linear progress bar displays full progress alongside detailed checklists.

This makes tracking smooth, visual, and super intuitive.
Viewing Linked Schedules
Tasks don’t exist in isolation — they often connect with schedules.
If a task is linked to a schedule, you’ll see a schedule icon on the task card or inside the task view.
Click it, and the linked schedule name will be displayed for quick context.
This way, your tasks stay aligned with your overall project timeline.
Pro Tip: Treat each task as a mini-milestone. With clear names, deadlines, priorities, and checklists, you’ll always have a roadmap that keeps your project moving forward.
