Client Reports in IntoAEC – Step-by-Step Guide
The Client Reports section in IntoAEC helps users track client details, project conversions, and business opportunities. This guide will walk you through accessing and using the reports efficiently.
Navigating to the Client Reports Section
Click on the Reports module from the main menu.
Select Client Reports from the available report sections.
Applying Filters to Refine Data
To find specific client and project data, apply the following filters:
Project Name – Select the project you want to view.
Assignee – Choose the assigned team member handling the project.
Created Between – Pick a date range to filter projects based on their creation date.
Project Type – Select the type of project (e.g., residential, commercial, industrial).
Once you have selected the required filters, click the Apply button to view the filtered results.
If you wish to reset the filters and start over, click the Clear button.
Understanding the Dashboard Metrics
The dashboard provides an overview of the project and client-related metrics, offering insights into business performance. The key metrics displayed are:
Total Projects – The total number of projects recorded in the system.
Lead to Projects – The number of leads successfully converted into projects.
Completed Projects – The number of projects marked as completed.
Potential Business Opportunity – The projected business value based on the budgets of ongoing and upcoming projects.
Analyzing the Client Report Table
The report table displays a comprehensive list of client-related data, including:
Project Name – The name of the project linked to the client.
Email – The email address of the client or contact person.
Phone Number – The contact number associated with the project.
Project Type – The category of the project (e.g., residential, commercial, industrial).
Project Location – The geographical location of the project.
Project Area – The total area covered by the project.
Project Budget – The estimated cost allocated for the project.
Assignee – The team member assigned to handle the project.
Conversion Type – Indicates whether the project was converted from a lead or a direct entry.
Created On – The date the project was added to the system.
Performing Bulk Actions & Exporting Data
The Client Reports section allows users to perform bulk actions and export data for further analysis.
Bulk Selection of Records
Users can select multiple records at once or choose an individual record.
This feature helps in managing multiple client projects efficiently.
Exporting Client Reports
After selecting the required records, click on the Export button.
The data will be downloaded in Excel format, making it easy to analyze, share, and store.
How to Configure Client Report Automation in IntoAEC
Set it up once and let IntoAEC handle the rest.
Follow these steps to automate Client Reports using the Configure Report Automation icon:
Click the "Configure Report Automation" Icon
Locate and click the icon to open the Client Report Automation popup.
Select the Recipients
Use the "Send To" dropdown to choose the users who should receive the automated client reports.
Set the Report Delivery Option
From the "Generate Report" dropdown, select how often you want the client reports to be sent:
Daily (Default option) - The report will be generated within one hour of the selected time.
For example, if the time is set to 6:00 PM, the report will be generated between 6:00 PM & 6:59 PM.Weekly – A report covering the current week will be sent at the same time and day the following week.
Monthly – A summary of the current month will be generated and sent on the same day and time next month.
Set the Start Date and Time
Select the Start Date and Start Time when the automation should begin.
Note: Please make sure to select a Start Time for the reports to be generated.
Save or Cancel
Click Save to activate your client report automation settings, or click Cancel to discard changes.
The Client Reports section in IntoAEC is a valuable tool for tracking client interactions, project conversions, and business opportunities. By using filters, dashboard insights, and export options, businesses can efficiently manage client data and make data-driven decisions.
