Proposal Report in IntoAEC – Step-by-Step Guide
The Proposal Report section in the IntoAEC application provides insights into all sent proposals, their statuses, and related actions such as tracking views, resending, and exporting data.
Navigating to the Proposal Report:
Go to the Reports section from the main menu.
Click on Proposal Report to access the proposal tracking dashboard.
Applying Filters to Search for Proposals
To refine search results, users can apply filters:
Locate the filter section in the Proposal Report.
Use the following filter fields:
Project Name – Select the project associated with the proposal.
Sent On – Choose a specific date or date range when the proposal was sent.
Click on the "Apply" button to display the filtered proposals.
If you want to reset the filters and view all proposals, click on the "Clear" button.
Understanding the Dashboard Insights
At the top of the Proposal Report, key metrics provide a summary of all proposals in the system:
Total Proposals Sent – Displays the total number of proposals that have been sent.
These insights help users track proposal activity and engagement.
Viewing Proposal Details in the Table
Below the dashboard, the Proposal Report Table provides a detailed view of all the proposals. The table includes the following columns:
Project Name – Displays the name of the project associated with the proposal.
Proposal Name – The title of the proposal.
Proposal Status – Indicates the current state of the proposal (e.g., viewed, Accepted, declined).
Sender Name – The user who sent the proposal.
Sent On – The date the proposal was sent.
Viewed On – The date when the recipient viewed the proposal.
Resent Count – Number of times the proposal has been resent.
Accepted On – The date when the proposal was accepted.
Bulk Selecting and Exporting Proposal Data:
In the Proposal Report Table, check the boxes next to multiple proposals.
This allows users to perform bulk actions, such as exporting data.
- Click on the Export button to download proposal details.
- The data can be saved in Excel format for further analysis or record-keeping.
How to Configure Proposal Report Automation in IntoAEC
Follow these steps to automate Proposal Reports using the Configure Report Automation icon:
Click the "Configure Report Automation" Icon
Locate and click the icon to open the Proposal Report Automation popup.
Select the Recipients
Use the "Send To" dropdown to choose the users who should receive the automated proposal reports.
Set the Report Delivery Option
From the "Generate Report" dropdown, select how often you want the proposal reports to be sent:
Daily (Default option) - The report will be generated within one hour of the selected time.
For example, if the time is set to 6:00 PM, the report will be generated between 6:00 PM & 6:59 PM.Weekly – A report covering the current week will be sent at the same time and day the following week.
- Monthly – A summary of the current month will be generated and sent on the same day and time next month.
Set the Start Date and Time
Select the Start Date and Start Time when the automation should begin.
Note: Please make sure to select a Start Time for the reports to be generated.
Save or Cancel
Click Save to activate your proposal report automation settings, or click Cancel to discard changes.
The Proposal Report section in IntoAEC provides a detailed and structured approach to tracking and managing proposals. With filtering options, dashboard insights, and export features, users can efficiently monitor proposal statuses and improve client engagement.
